How to export a WooCommerce tax report for your accountant

A tax total is easier to review when the export also explains the period, source orders, refunds, and reporting choices. Start with the built-in WooCommerce export if it meets your needs; use a reconciliation pack when you need Canadian province and tax-type detail.

The short answer

In WooCommerce, open Analytics → Taxes, select the date range, and use the table’s Download option for a CSV. In TaxPack, generate a saved report and download the summary, tax-line, and orders/refunds CSVs together. The files serve different purposes and should be kept as one pack.

Export from WooCommerce Analytics

  • Open Analytics → Taxes in your store admin.
  • Select and apply the period you want to review.
  • Check the tax codes and report columns before downloading.
  • Use Download above the report table. Larger exports may be prepared in the background and delivered through a link emailed to the WordPress user who requested them.

This exports the native report. Check whether its tax-code breakdown gives your accountant the province detail and order traceability they need. Installing another tool is unnecessary if the existing report already answers the question.

Build a Canadian reconciliation pack in TaxPack

After installing the plugin, open WooCommerce → TaxPack Canada. Review rate mappings first. Then choose From and Through dates, the province address source, and the included order statuses. Generate the report and review its flagged records before downloading.

The period uses order creation dates in the store timezone, with inclusive start and end dates. Refunds use their own creation dates. These choices are included in the export metadata; they are not payment-date or bank-settlement reporting.

Keep the metadata and signed values

Each CSV identifies its report, generation time, period, timezone, address source, order statuses, and mapping revision. Preserve these columns when sharing a working copy. They explain why two exports made with different settings may not agree.

For example, a summary group with 250.00 of order tax and −20.00 of refund tax has 230.00 of net recorded tax. Add the signed refund value; do not subtract a negative value a second time. The shipping_tax_included column describes a component of the net total, not another amount to add.

Open text identifiers as text in your spreadsheet and keep the original downloaded files unchanged. Make a separate working copy for notes, sorting, and extra formulas. The source event IDs let you connect a summary to the supporting rows.

An accountant handoff checklist

  • All three CSVs from one saved report, rather than files from different runs.
  • The period and currency being reviewed, plus the selected address basis.
  • A note explaining unresolved provinces, unmapped rates, or other exceptions.
  • Any separate business records your accountant requests, such as expense documents or payment-provider statements.
  • An English or French preparation worksheet if a printable overview is useful.

TaxPack’s worksheets are HTML documents you can open in a browser and print or save as PDF. They are not official filing forms. A CSV tax summary does not include the purchase-side records needed to assess input-tax credits.

If the reporting period is too large

Each TaxPack report supports up to 5,000 combined order and refund records. If the limit is exceeded, it stops instead of saving a partial report. Divide the period into non-overlapping date ranges and keep each pack labelled. Never combine different currencies just to produce one spreadsheet total.

Saved reports preserve the values read when they were generated. If a source order is corrected later, generate a new report and identify the replacement when you share it; the previous export does not update itself.
